OFFICE OPERATIONS ASSISTANT

To support the amazing growth our company has seen this year, we are seeking a qualified Office Operations Assistant to join our team. This is a remote position. Office Operations Assistant responsibilities include working with Recruiting/Client Management and Finance to provide administrative support as we grow. You will assist in the management/building of our bench of potential and current consultants and provide administrative support in the form of job postings, consultant interface, document and database management, and billing preparation. To be successful in this role, you should have a positive attitude, terrific work ethic, and be able to take direction well. This position will report to Recruiter.
 

Ultimately, you will help us build a strong employer brand and ensure we provide a positive candidate experience.
 

Office Operations Assistant responsibilities include:

  • Prepare consultant CVs for presentation to clients
  • Assist in the preparation of billing, as requested, and forward to Finance
  • Become proficient in the proprietary electronic Timesheet System
  • Post job ads for current/upcoming opportunities on social media (LinkedIn, FB) and MassBio website
  • Assist in the identification of candidates through online channels and networking
  • Work with Recruiting and Finance to assist in the onboarding process for new consultants (contracts via DocuSign, payroll forms)
  • Manage Bullhorn (database for client/consultant information) to be both current and accurate. Training will be provided.
  • Maintain Excel spreadsheets and documents within DropBox

Requirements:

  • Approximately 20 hours per week, with the possibility for growth into a full-time role
  • Proficient with MS Office software, DropBox, and DocuSign
  • HS Diploma or GED
  • Proven work experience as an administrative assistant to a sales/recruiting function
  • Excellent verbal and written communication skills
  • Ability to work effectively from a home office environment with minimal distractions
  • Must have reliable wifi. Computer/phone, etc. will be provided.
